Importing from QuickBooks Desktop

Moving from QuickBooks Desktop to AllMy Ledger takes about 10-15 minutes. You'll bring over your chart of accounts, customers, vendors, and transaction history.

Before You Start

You'll need:

  • QuickBooks Desktop with your company file open
  • Admin access to run and export reports
  • AllMy Ledger installed on your computer

Supported versions: QuickBooks Desktop Pro, Premier, and Enterprise (2015 or later).

Step 1: Export Reports from QuickBooks Desktop

AllMy Ledger imports standard CSV reports from QuickBooks Desktop. You'll need to export a few reports:

  1. Open your company file in QuickBooks Desktop
  2. Go to Reports and run your Chart of Accounts list
  3. Export the report as a CSV file
  4. Repeat for your Transaction Detail report (select "All" for the date range)
  5. Save the CSV files somewhere easy to find (like your Desktop)

Important: AllMy Ledger uses standard CSV reports — not IIF files. If you've used IIF exports before with other tools, this is different.

Step 2: Import into AllMy Ledger

  1. Open AllMy Ledger
  2. Go to File → Import → From QuickBooks Desktop
  3. Select your CSV report files
  4. Review the import preview — check that account names and balances look right
  5. Click Import

The import typically takes 1-2 minutes depending on how many transactions you have.

Step 3: Verify Your Data

After importing, check that everything came through correctly:

  • Run a Balance Sheet and compare totals to QuickBooks
  • Check that your bank account balances match
  • Open a few invoices to verify customer data
  • Review your chart of accounts for any duplicates

Common Issues

"Account not found" errors

This usually means a transaction references an account that wasn't in your exported reports. Go back to QuickBooks and make sure you exported the complete Chart of Accounts list.

Duplicate accounts

If you see accounts like "Checking" and "Checking (1)", you may have imported twice. Go to your Chart of Accounts in AllMy Ledger and merge or delete duplicates.

Missing transactions

Make sure you selected "All" for the date range when running the Transaction Detail report. If you only need recent history, that's fine — older transactions won't appear.

What Doesn't Import

  • Memorized transactions (set these up manually in AllMy Ledger)
  • Attached documents and receipts
  • User permissions and roles
  • Custom forms and templates
